Project Developer

Responsibilities: The Project Developer is responsible for completing the following tasks and activities:

General Responsibilities:

  • Update project information in all appropriate GDB data systems and file all materials in the proper electronic and paper systems.
  • Attend weekly meetings.
  • Assist with answering office phone.

Sales & Design Process Responsibilities:

  • Create, update & maintain the design schedule and finish list of selections in BuilderTREND (BT).
  • Obtain clarification on designs, plans and specifications from designers, architects, and engineers when necessary.
  • Schedule and attend job walks with the project manager, salesperson, estimator and the trades.
  • Assemble trade/supplier bid solicitation packages including Scope of Work (SOW), plans, etc. and follow up with trades during the course of the bid. Review bids for accuracy and complete Scope of Work.
  • Review with Salesperson and assist with preparation of Presentation Packets with all documents and presentation materials (budget, plans, scope of work, design agreement, construction agreement, etc.) to offer Client at the Design & Budget Presentation Meeting.
  • Attend and take notes at the Design & Budget Presentation Meetings with clients ensuring all relevant information and decisions are noted. Add “To-Do’s” to “weekly meeting notes”.
  • Attend weekly Sales & Design Meetings and provide recap reports of client’s sales & design meetings and updates on open design projects and sold projects.

Production Process Responsibilities:

  • Request and obtain documents required for permit submittal including Title 24 calculations from energy consultant, construction documents from design consultant/draft person and structural plans and calculations from the structural engineer.
  • Develop, deliver, and submit the Permit Submittal Package to the appropriate city, agency or association including completing the permit applications required for the project including obtaining permit fees and permit timing for project budget and schedule.
  • Manage the selections process including:
    • Create and update projects in BuilderTREND and invite clients to join BuilderTREND and view project. Add before pictures, enter selection information with allowances and due dates.
    • Do weekly updates on BuilderTREND relevant for specific jobs and be current on all tasks.
    • Schedule and conduct Interior Designer Meetings by providing Interior Designer Binder and review the project, selection information, allowances, and due dates with designer so they can assist the client. Manage designer to ensure all selections are finalized by due dates.
    • If no Interior Designer, schedule Supplier Meetings with client and supplier to view and make selections. If have Interior Designer, coordinate with Interior Designer.
    • Send Allowance and Floor Plan Information to Suppliers prior to Supplier Meeting.
    • Upload quotes from suppliers to BuilderTREND after Interior Designer approval directly from supplier.
    • Order selections and schedule deliveries and installations, as appropriate, with suppliers.
    • Quote change order prices for any additions or deletions of original contract.
    • Create and email Allowance Tracker to client biweekly or when client starts to exceed their allowances and continue to do so with any further increases. “cc” General Manager and Salesperson.
  • Create & complete Project Manager Binder before the Pre-Construction Client Meeting with all relevant information.
  • Manage the scheduling of and attend all pre-construction meetings with designer and crew. Document all discussions, decisions, and issues.
  • Assist PM with ordering of all finish materials. Track deliveries.
  • Check in and verify the accuracy of all deliveries made to office. Immediately investigate and solve any noted issues. Create and maintain tracking system for all materials in storage room.
  • Maintain long lead items list for production and update in BuilderTREND.
  • Answer questions from Design/Sales, Field, and clients.
  • Process all change orders with Sales and PMs and send thru BuilderTREND.
  • May be required to act as temporary supervisor of projects during vacations or leaves of absence if short term oversight is needed.
  • Oversee the facilitation of Subcontractor packages to new subcontractors.
  • Complete a final reconciliation of allowances vs. actuals for selections on projects.
  • Confirm all lists of items to be saved from current space, project specific checklists, & procedures are being followed and completed.

Accountabilities: The Project Developer is accountable for completing the above tasks and activities to the following measurements of success and standards of quality and performance:

  • Wear office appropriate Gayler Design Build clothing or business casual clothing to office, job sites and whenever representing Gayler, and interact with clients in a respectful, professional and friendly manner.
  • While representing Gayler act in accordance with the Gayler Design Build company values in all decisions and interactions with clients, vendors, partners, or the public.
  • Provide clear, accurate, complete and on-time required and requested reports and communications.
  • Read and understand the Employee Manual and know GDB’s office policies and procedures.
  • Complete all sales and design process duties and assignments to meet the sales/design project milestones and deadlines.
  • Complete all pre- and post-production process duties and assignments to meet the project milestones and deadlines for project start and to close all projects promptly and efficiently.
  • Ensure all documents, deliverables, and packages are accurate and complete.

Authority: The following lists when the Project Developer has the authority to decide without prior approval or notification or when and how authority or notification is needed prior to making a decision:

  • Manage day-to-day activities to meet the requirements of the position and to meet all project milestones, deliverable deadlines and budgets.
  • Design and recommend changes to project developer processes, systems and tools.

Skills, Education and Experience: The following lists the minimum or desired skills, education and experience required for the role of Project Developer:

  • Basic English proficiency as determined by passing ESL 1 course, (or passing an equivalency test administered by Gayler Design Build).
  • Minimum of 3 years of experience in construction and/or construction project administration, with the ability to read plans.
  • Proficient in Microsoft Outlook and Excel. Pluses: proficiency in BuilderTREND.
  • Valid California State driver’s license.
  • Valid Social Security Number.
  • Pass background check without incident and pass drug testing.
